What a call sheet is - and why it decides the day

Learning how to write a call sheet is one of the highest-leverage skills on a production, because the call sheet is the single document that runs the shoot day. It is the daily instruction set every cast and crew member reads the night before: where to be, when, what is shooting, and what to bring. Get it right and the day starts on time. Get it wrong and twenty people are standing in the wrong car park while the light burns.

A call sheet is issued once per shoot day, usually the evening before, by the 1st assistant director's team. It is a view of decisions already made - the schedule, the breakdown, the cast and crew lists - assembled into one page (front) plus a scene-by-scene shooting order (back).

The anatomy of a call sheet - every section

A complete call sheet has a fixed set of blocks. Here is what goes in each.

Header block Production title, shoot day number ("Day 4 of 18"), the date, and the general call time - the time the crew is expected on set. Add the production company and the key emergency contacts.

Weather and daylight Sunrise, sunset, and the forecast (temperature, precipitation, wind) for the shoot location. This is not decoration - it drives wardrobe, lighting, and whether an exterior scene is even shootable.

Location block The set address with a map link, the parking/basecamp location if different, the nearest hospital (name, address, phone, drive time), and load-in notes. The hospital line is a legal and safety non-negotiable.

Schedule strip (the back page) Scene by scene, in shooting order: scene number, INT/EXT, day/night, a one-line description, the cast numbers in the scene, the page count, and the location. This is lifted straight from your shooting schedule.

Cast block Every performer working that day: their character, their cast number, their call time, their makeup/wardrobe time, and their on-set time. Include pickup/transport arrangements if the production is providing them.

Crew block Every department and crew member with their individual call time. Many departments (art, camera pre-rig, catering) have a call that is earlier than the general crew call.

Notes and advanced schedule Special equipment, safety notes for stunts or effects, meal times, and a preview of what tomorrow (the "advanced schedule") is likely to hold so departments can prep.

How to write a call sheet - step by step

1. Start from the schedule, not a blank page. The scenes shooting today, in what order, come from your stripboard. If your scheduling lives in the same system as your breakdown, this populates itself. (See how to schedule a film shoot.)

2. Pull the cast and crew from the breakdown. Who is in each scene is a fact your script breakdown already knows. Do not re-type it - re-typing is where the wrong actor gets the wrong call.

3. Set call times backwards from the first shot. Decide when camera turns over, then work back: on-set time, then makeup/wardrobe time (add the hours the HMU department needs), then arrival. The general crew call is usually 30-60 minutes before the first shot.

4. Localise the environment. Add live weather and sun times for the date and place, and confirm the nearest A&E hospital for this location, not the one from last week.

5. Check meal-break compliance. Mark the meal window and make sure it lands inside the union's window (the six-hour rule for many agreements). A missed meal is a penalty payment.

6. Redact by audience. Background performers should not see the budget or a lead's mobile number. A modern call sheet sends role-aware copies.

7. Distribute and confirm receipt. Email is not enough - inboxes overflow. SMS or push with a read receipt, then the AD chases anyone who has not opened it before midnight.

  • [ ] Every cast member: character, call, HMU, on-set time
  • [ ] Every crew member/department with individual calls
  • [ ] Meal time inside the union window
  • [ ] Safety notes for stunts, effects, weapons, animals, minors
  • [ ] Advanced schedule (tomorrow's preview)
  • [ ] Audience redaction applied
  • [ ] Sent with read receipts + holdouts chased

Common mistakes

Re-typing instead of pulling. The biggest source of errors. If the call sheet is typed by hand from memory, the wrong scene, the wrong actor, or the old call time slips in. Build it from the schedule and breakdown.

Stale hospital info. The nearest hospital changes with the location. Look it up at generation time for the actual set.

No read receipts. "I emailed it" is not the same as "they got it". Confirm delivery.

One version for everyone. The budget number on the background performers' copy is an amateur tell.

Ignoring the weather. An exterior with rain forecast and no cover plan is a lost day nobody planned for.

What is the difference between a call sheet and a shooting schedule? The shooting schedule is the whole-shoot plan - every scene mapped across every day. The call sheet is one day's slice of that schedule, expanded with call times, weather, and logistics. The schedule is the plan; the call sheet is the day.
